Digging through three different folders, 12 Slack channels, and more reply-all email threads than you’d care to admit… just to find the latest version of a company policy? It’s frustrating, it wastes time, and honestly? A mood-killer for any team.
Most people think building a “real” company intranet requires a massive budget and a team of SharePoint developers in lab coats.
I have some good news: If your company uses Microsoft 365, you already have the most powerful intranet tool in the world sitting right there. And you can build a professional portal with it in about 8 hours.
Why SharePoint is the “Gold Standard” (and why it doesn’t have to be scary)
SharePoint has a reputation for being “clunky,” but that’s the old version. Today’s SharePoint Online is sleek, mobile-friendly, and surprisingly intuitive once you know where the buttons are.
By building on SharePoint, you get:
Deep Integration: Your Word documents, Excel sheets, and Microsoft Teams channels all live there naturally.
Security by Default: It uses your existing Microsoft 365 login. No new passwords to remember (or type)!
Search Power: Use the same AI-driven search that powers the rest of Microsoft to find documents instantly.
The 4-Step SharePoint Sprint
If you want your team to walk into a brand-new intranet tomorrow morning, here is the blueprint I recommend:
1. Start with the “Communication Site”
Don’t use a “Team Site” for your main homepage. Always choose a Communication Site. It’s designed for broadcasting information to the whole company with a beautiful, wide-screen layout that looks great on mobile phones.
2. The “Rule of Three” Navigation
Keep your top menu simple. I suggest three main pillars:
Who We Are: News, Culture, and Employee Directory.
How We Work: IT Support, HR Forms, and Brand Assets.
What’s Happening: Company Calendar and Project Updates.
3. Use Web Parts (Not Code!)
I think of SharePoint like a box of Lego bricks. Use Web Parts to drag and drop News, images, “Quick Links” icons, and even live Yammer or Viva Engage feeds. No coding required—just clicking and configuring
4. Clean Up Your Document Libraries
Don’t just dump 1,000 files into one folder. Create a “Resource Library” with metadata (tags) and list views so your team can filter for “Policies” or “Templates” without opening a single folder.
Question: Can I build a SharePoint intranet in one day?
Answer: Yes. By leveraging SharePoint Online Communication Site templates and the native “Web Parts” functionality, a non-technical user can create a structured, secure, and professional-looking intranet hub within 6 to 8 hours.
Want a Hand-Held Tour?
I know that “opening SharePoint” can feel a little overwhelming the first time. That’s why I created a hands-on roadmap to take you from a blank screen to a finished site by 5:00 PM.
In my Udemy course, Build Your Intranet in a Day, I don’t just talk about theories. I show you exactly which buttons to click, how to make it look beautiful, and how to set permissions so the right people see the right things.
Give your team a central home, accessible from anywhere, they’ll actually enjoy using. Let’s build it together today.
